1. Introduction

At Kyara Skin & Hair Clinic, we deeply respect our patients' right to privacy and control over their personal data. In compliance with the Information Technology Act (India), Meta Developer Guidelines, and WhatsApp Business Account policies, we provide patients with an explicit process to request the deletion of their personal, contact, and non-clinical records from our databases.

2. Information Eligible for Deletion

Upon receiving a validated request, we will permanently purge the following categories of information from our active clinical CRM database and contact books:

Personal Profiles: Account names, email addresses, and general notes.
Contact Information: Phone numbers, address details, and contact lists.
Communication Settings: WhatsApp consent logs, SMS numbers, and email notification lists.
Marketing Records: Subscribed promotional updates, offers, and tips preferences.

3. Information That May Be Retained

Please note that Kyara Skin & Hair Clinic operates under strict medical and regulatory rules in India. Certain information is legally exempt from deletion and must be retained under local laws:

Medical Files & Treatment Records: Clinical diagnoses, doctor notes, prescription histories, before/after mapping images, and treatment logs are retained to comply with medical record-keeping laws and professional medical liability guidelines.
Financial & Accounting Records: Bills, clinic invoices, treatment package receipts, and audit histories are retained to satisfy tax and accounting audit obligations under Indian law.
Legal & Compliance Logs: Deletion request logs, identity verification confirmations, and consent withdrawal timestamps are retained for security audits.

4. Step-by-Step Data Deletion Process

If you wish to submit a data deletion request, please follow these steps:

Step 1 Contact the Clinic

Submit your deletion request by sending an email to kyaraskin@gmail.com with the subject line "Data Deletion Request", or by calling our helpdesk at +91 99746 89997.

Step 2 Details Submission

Provide the exact full name and mobile phone number that was used during your registration at our clinic. This helps us locate your record in our system.

Step 3 Identity Verification

For your security, we will call you or send a verification code (OTP) to your registered mobile number to confirm that the request is authentic.

Step 4 Review & Execution

Our Data Officer will review the request against our medical retention guidelines. All non-exempt data (e.g. promotional settings and general contact entries) will be permanently purged.

Step 5 Confirmation Status

We will send a final email or SMS confirmation informing you of the successfully completed deletion request and summarizing what has been removed and what is legally retained.

5. Processing Time

Once identity verification is successfully completed, we aim to process and execute data deletion requests within 15 business days.

6. WhatsApp Consent & Preference Control

If you do not want to delete your profile but simply want to stop receiving messages on WhatsApp, you do not need to request full deletion. You can modify your choices at any time:

Marketing Messages Opt-out: Send "UNSUBSCRIBE" or tap the opt-out option in our WhatsApp messages. Alternatively, ask the receptionist at our Bharuch, Kosamba, or Ankleshwar clinic to update your preference.
Utility Messages Note: Utility notifications (appointment reminders, digital receipts, prescriptions) are directly linked to your treatments. If you unsubscribe from utility messages, you may miss booking alerts and receipts. These messages will continue until all scheduled clinic treatments are completed.
